PCYC Queensland replacing 60 databases with single cloud-based system

Not-for-profit wants to reduce costs, improve staff efficiency

Not-for-profit Police-Citizens Youth Club (PCYC) Queensland is replacing 60 MYOB databases with one cloud-based system to reduce costs and improve branch efficiency.

The organisation has 60 branches throughout Queensland with 700 staff.

Speaking at TechnologyOne’s Evolve conference on the Gold Coast, PCYC finance general manager Anthony Abrahams said that each branch was applying for grants, leading to 60 separate auditor balance sheets per year.

A single cloud-based system would take away this problem and allow staff access to a Web-based portal which they could log in to from work or home.

“We had a perfect opportunity to integrate payroll and human resources. The key was access from anywhere and no limitations on functionality,” he said.

After going to market in mid-2013, the organisation selected TechnologyOne’s Ci cloud services. In order to meet organisational concerns about data sovereignty and security. PCYC’s data is hosted in Sydney.

“If there is a problem with uptime or any other issues, we only deal with TechnologyOne,” Abrahams said.

The Ci system will go live In March 2014 at PCYC’s head office. A staggered rollout to the remaining branches will happen over the next 12 months.

“We haven’t had any [system] freezes or lockouts and there is access from anywhere,” he said.

In the past, the not-for-profit outsourced all of its IT functions to contractors. PCYC Queensland now has an IT manager who works with external providers.
